We address the special needs – and power – of groups.

  • We can open housing early for your select exhibitor audience. Or if you like, we can even accept housing requests for future events on-site at the current event.
  • Specially trained agents handle calls for groups that book ten or more rooms. You're welcome to publicize the names and personal extensions of the team leader and other group members. The entire team will even be on-site at your event.
  • Group coordinators can use GroupsWizard to access and adjust reservations. A group can make arrival/departure changes for all rooms in a block at one time.
  • On your request, your Group Team will call key VIPs and speakers. VIPs deal with the same agent throughout and are encouraged to ask for "their" agent by name.

We fastidiously track and report on attendee and exhibitor satisfaction.

  • An outside evaluation service “shops” all of our reservation agents. Our managers also monitor agents for quality control.
  • On-site, our team confirms activity within the 1-2 day travel window directly with hotels. We also review the status of VIP and major group reservations with individual hotels on-site.
  • We'll report to you on comments and our responses to them. Travel Planners' goal is 100% satisfaction, but if an attendee expresses any concern, we will tell you how we resolved it.

Our optional Impact Protection Plan lets you capture reservations made outside the block.

  • At your discretion, we provide no-cost access to Quikbook.com. Quikbook is our affiliated company and is a top-rated hotel reservations website. Your official hotel program is promoted aggressively first and foremost, but customers that are unable to find their preferred hotels can be directed to Quikbook.
  • You reduce attrition risks. If rooms in official hotels are booked outside your program, you can still count them toward required minimums.
  • We can compare Quikbook.com guest lists for hotels with your attendee list. Room nights trackable to your attendees are officially credited to your event.
  • You continue to work with one housing vendor. If you choose to use the Impact Protection Plan, you consolidate all reservation activities with a single company. There are no extra costs and no new contacts to coordinate.

  • Our exclusive AuditProSM service locates attendees who stay at your event's hotels, but don't book through the official program.
  • You get the most accurate counts and avoid attrition penalties.
